Jan Werner Adult Day Care Strengthens Operational Visibility and Compliance with PCO
A Thoughtful Technology Journey
Jan Werner Adult Day Care has served its community for decades, operating in an environment where regulatory requirements, reporting expectations, and participant needs continue to evolve.
Longtime Collabrios Health partner, the organization has worked with past iterations of Collabrios platforms as part of its growth and operational refinement. According to Krissy Hurt, Executive Director, each transition reflected the organization’s desire to stay aligned with changing compliance standards, leadership priorities, and operational needs.
“When you’ve been around as long as we have, you’ve evolved with the times,” Hurt shared.
As leadership roles shifted internally, the organization recently took the opportunity to reassess its systems and ensure its technology supported both regulatory expectations and day-to-day workflows.
Why Jan Werner Transitioned to PCO
The decision to transition back to PCO was rooted in two key priorities:
- Strengthening compliance visibility
- Simplifying operational workflows
Hurt noted that over time, Collabrios had significantly expanded its compliance, quality, and clinical support capabilities.
“You guys as an organization have worked really hard to build those compliance pieces… I think you’re ahead of the game.”
At the same time, the team was looking to reduce administrative duplication. Having critical workflows and tracking consolidated within the platform — rather than supported by parallel spreadsheets or manual tracking tools — was an important shift.
“It was important to have more of it in one place.”
Supporting Change and Adoption
Change management is never simple, especially in organizations with long-tenured staff. Hurt approached the transition with clarity and consistency, while also leaning on team members who had prior experience with past Collabrios platforms.
“I still had some staff who had worked in PCO before, and having their support really helped me champion the change.”
From a workflow perspective, the shift streamlined daily operations. Staff no longer needed to manage multiple open windows or rely on dual-monitor setups to navigate core processes.
The organization also recognized that adoption improves over time. Initial training provided the foundation, but real-world use unlocked deeper efficiencies.
“We did retrain several months after go-live, and I had staff say, ‘Oh, there’s even more we can do with this platform.’ Sometimes it just takes time in the system for it to click.”
The Value of Partnership
Hurt emphasized that hands-on support during implementation played a major role in a smooth transition.
“Our on-site training was phenomenal. They resolved a lot of the hurdles we would have faced if they hadn’t been there.”
As go-live approached, the team received additional support to ensure confidence and readiness. That presence helped minimize disruption and ease provider concerns.
“It made a big difference having that level of support.”
Operational Impact
For Jan Werner, the value of the transition ultimately comes down to sustainability.
As a smaller organization operating within a tightly constrained funding environment, maintaining lean administrative costs is critical. Having integrated support for areas like reporting and claims processing helps keep overhead manageable.
“Having that support allows me to keep administrative costs down and use the limited funds we have on what we truly want to use it on — our patients.”
Looking Ahead
Hurt also shared perspective on the broader landscape, noting that growth and sustainability vary widely across states and funding environments. In regions where expansion has been slow, operational efficiency becomes even more important.
Through continued platform evolution and deeper compliance alignment, Jan Werner feels positioned to navigate those challenges with greater clarity and confidence.
Results and Impact
While Jan Werner’s story includes technology decisions, the real impact is operational: reducing administrative burden, minimizing manual work, and freeing limited resources to stay focused on participants.
Hurt summarized the value in simple terms: lower overhead and more ability to invest where it matters.
“Having your supportive staff… helps keep my administrative costs down… so I can use the limited funds we have on what we truly want to use it on — our patients.”
Looking Ahead: PACE in Texas and the Importance of Sustainability
In the broader context, Krissy highlighted that PACE looks very different state-by-state. In Texas specifically, growth has been constrained for years.
“It’s been stagnant.”
She noted that while legislative support can be strong, state agency budget pressures—slot cuts and rate cuts—often define program feasibility, making sustainability and operational efficiency even more critical.
For organizations like Jan Werner, having a partner that understands those realities — and provides integrated clinical, operational, and financial support — makes a meaningful difference. In tight funding environments, clarity, efficiency, and strong partnership aren’t optional; they’re essential to continuing to serve participants well.
